These terms explain the rules for accessing the AEYF website, making an application, submitting a proposal and relying on programme information.

About these Terms
These Terms of Use govern your access to and use of the Africa Energy Youth Forum website, application routes, enquiry forms, content and related digital services (the “Site”). Africa Energy Youth Forum is powered by Africa Energy Technology Centre, the organisation behind the Africa Energy Technology Conference. In these Terms, “AEYF”, “we”, “us” and “our” refer to the forum and the teams authorised to operate it.
By accessing or using the Site, you agree to these Terms. If you submit an application or enquiry on behalf of an organisation, you confirm that you are authorised to provide the information and bind that organisation to the provisions that apply to the submission.
Please read before submitting
If you do not agree with these Terms, do not use the Site or submit information through it. Separate written terms may apply to selected delegates, speakers, exhibitors, sponsors or programme participants and will prevail if they conflict with these Terms.
Eligibility and authority
You must be legally capable of entering into these Terms. Application routes may have additional published eligibility criteria, including age, geography, sector, venture stage, leadership or ownership requirements. You are responsible for reviewing and satisfying the criteria for the route you choose.
- You must provide current, accurate and complete information.
- You must have permission to provide personal information about another person, including team members, referees or representatives.
- You must not misstate your identity, credentials, ownership, authority, experience, traction or eligibility.
- Applicants under 18 may not submit unless the relevant programme expressly permits it and appropriate guardian authorisation has been arranged.
Permitted use of the Site
We grant you a limited, personal, non-exclusive, non-transferable and revocable right to use the Site for lawful informational, application, participation and enquiry purposes. No ownership interest is transferred to you.
You may download or print reasonable extracts for your own internal, educational or application-related use, provided you preserve attribution and do not alter the meaning of the material.
Prohibited conduct
You must not use the Site in a way that is unlawful, fraudulent, harmful, disruptive or inconsistent with the purpose of AEYF. In particular, you must not:
- attempt to gain unauthorised access to the Site, servers, accounts, submissions or security controls;
- introduce malware, automate abusive requests, scrape at scale, overload the service or circumvent rate limits;
- submit content that is deceptive, defamatory, discriminatory, infringing, confidential without authority, or otherwise unlawful;
- impersonate another person or falsely suggest endorsement, affiliation, selection or sponsorship;
- copy, republish, sell or commercially exploit Site content except with our prior written permission; or
- use personal information obtained through the Site to spam, harass, profile or target another person.
Applications, proposals and enquiries
A submission is an invitation for AEYF to evaluate or respond to the information provided. It does not create a contract, confer participant status, reserve a place, or guarantee selection, funding, travel support, investment, speaking time, exhibition space, sponsorship benefits or any other outcome.
- Deadlines, selection stages, capacity and eligibility rules may vary by programme route.
- We may verify material claims, request supporting information, contact listed representatives, or reject incomplete, late, misleading or ineligible submissions.
- Selection decisions may consider programme fit, evidence, regional balance, available capacity and the published objectives of the relevant route.
- You remain responsible for obtaining visas, permissions, insurance and travel arrangements unless a written participant agreement says otherwise.
Your content and confidential information
You retain ownership of information, proposals, documents and materials you submit (“Your Content”). You grant AEYF and its authorised reviewers a limited, worldwide, royalty-free licence to host, copy, format, transmit and review Your Content only as reasonably necessary to administer the submission, communicate with you, prevent misuse, maintain records and deliver the relevant programme.
Do not submit trade secrets, highly sensitive technical information, unprotected intellectual property or third-party confidential material unless it is necessary and you are authorised to do so. Initial application review is not conducted under a non-disclosure agreement. If a later stage requires confidential disclosure, request an appropriate written arrangement before sharing it.
AEYF intellectual property
The Site and its design, text, graphics, photographs, video, branding, logos, programme names, selection materials and software are owned by or licensed to AEYF and are protected by applicable intellectual-property laws. Third-party names and marks remain the property of their respective owners.
Nothing in these Terms gives you a right to use the AEYF or AETC name, logo, visual identity or endorsement in publicity, fundraising, sales or promotional materials without prior written approval. Factual statements that you have applied are permitted; statements that imply selection or partnership are not.
Programme information and changes
We aim to keep Site information accurate, but programmes and live events depend on speakers, partners, venues, public authorities, travel conditions and other circumstances. Dates, venues, formats, speakers, agendas, benefits, deadlines and availability may change. Material changes will be communicated through appropriate channels where reasonably practicable.
Editorial content is provided for general information and discussion. It is not legal, financial, investment, engineering, safety or regulatory advice, and should not be relied upon as a substitute for qualified professional advice.
Third-party links and services
The Site may link to external websites, social platforms, document hosts, payment or registration services. We do not control their content, availability, accessibility, security or privacy practices. A link does not by itself amount to endorsement. Your use of an external service is governed by that provider’s terms and policies.
Availability and security
We may maintain, suspend, restrict or withdraw all or part of the Site without notice where reasonably necessary for security, maintenance, legal compliance or operational reasons. We do not guarantee uninterrupted or error-free availability.
You are responsible for using a secure device and connection, keeping copies of important submissions, and checking that any confirmation has been received. If you believe the Site or a submission has been compromised, contact us promptly.
Disclaimers and limitation of liability
To the maximum extent permitted by applicable law, the Site is provided on an “as available” basis without implied warranties of uninterrupted availability, fitness for a particular purpose or non-infringement. Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability for fraud or fraudulent misrepresentation, or for death or personal injury caused by negligence where applicable.
Subject to those non-excludable obligations, AEYF will not be liable for indirect, incidental, special or consequential loss, loss of opportunity, anticipated funding, business, revenue, data or reputation arising from use of or inability to use the Site, reliance on general Site content, or an unsuccessful application. Where liability cannot be excluded, it will be limited to losses that were reasonably foreseeable and directly caused by our breach.
Privacy and cookies
Our Privacy Policy explains how we process personal information. Our Cookie Policy explains our use of cookies, local storage and Vercel Web Analytics. You can change optional analytics choices at any time through “Cookie settings” in the footer.
Suspension and termination
We may restrict access, disregard a submission or take proportionate protective action if we reasonably believe these Terms have been breached, the Site is being misused, or action is required to protect applicants, partners, systems or legal rights. Provisions concerning intellectual property, Your Content, liability, governing law and other terms that by nature should continue will survive termination.
Governing law and disputes
These Terms are governed by the laws of the Republic of Ghana, without prejudice to mandatory consumer or data-protection rights that apply in your country of residence. The courts of Ghana will have non-exclusive jurisdiction. Before starting formal proceedings, we encourage you to contact us so the matter can be reviewed and, where possible, resolved promptly.
Changes, interpretation and contact
We may update these Terms to reflect changes in the Site, programmes, suppliers or law. The “Last updated” date identifies the current version. Material changes will be highlighted where reasonably appropriate. Continued use after a change takes effect constitutes acceptance of the updated Terms.
If any provision is found unenforceable, the remaining provisions continue in effect. A delay in enforcing a right is not a waiver. These Terms and any route-specific written agreement form the entire agreement about your use of the Site.
